UAS Flight Operations Safety & Weather Cancellation Policy

Thermal Inspection Operations Agreement

Cox Aerial Solutions LLC is committed to conducting safe, professional, and compliant unmanned aircraft operations while providing thermal and visual inspection services for electrical infrastructure, renewable energy assets, and industrial facilities.

The safety of personnel, property, equipment, and the public is the highest priority during all UAS operations. All drone inspection operations performed by Cox Aerial Solutions LLC will be conducted in accordance with FAA Part 107 regulations, applicable airspace requirements, manufacturer aircraft limitations, weather limitations, and Cox Aerial Solutions LLC safety procedures.

Right to Suspend or Cancel Flight Operations

Cox Aerial Solutions LLC reserves the right to delay, suspend, postpone, or cancel flight operations at any time when conditions are determined to be unsafe, unlawful, or outside acceptable operating parameters.

The decision to conduct, continue, or terminate a flight operation will be made by the Remote Pilot in Command (RPIC).

Customer scheduling requirements, project deadlines, or operational priorities do not override aviation safety requirements.

No Guarantee of Flight Completion Due to FAA/Weather Restrictions

Cox Aerial Solutions LLC does not guarantee completion of scheduled flight operations due to factors outside of the company’s control.

Flight operations may be delayed, postponed, or canceled due to:

  • Temporary Flight Restrictions (TFRs)
  • FAA airspace restrictions
  • NOTAM restrictions
  • Weather conditions
  • Unsafe flight conditions
  • Equipment limitations
  • Site safety concerns
  • Regulatory requirements

Cox Aerial Solutions LLC will make reasonable efforts to reschedule affected inspections; however, delays or cancellations caused by FAA restrictions, weather, or safety concerns shall not be considered a failure to perform contracted services.

Weather & Environmental Flight Limitations

Flight operations may be suspended or canceled due to the following weather and environmental conditions.

Wind Conditions

  • Sustained winds exceeding 20 mph
  • Wind gusts exceeding safe aircraft operating limits
  • Conditions that may negatively affect aircraft control or image quality

Precipitation & Weather

  • Rain
  • Snow
  • Hail
  • Lightning
  • Severe weather activity
  • Excessive humidity or environmental conditions affecting equipment performance

Visibility Conditions

  • Reduced visibility
  • Fog
  • Smoke
  • Dust
  • Conditions preventing safe aircraft operation

Aviation Restrictions

  • Temporary Flight Restrictions (TFRs)
  • FAA airspace restrictions
  • Emergency airspace closures
  • Restricted or prohibited airspace
  • Airport-related limitations
  • Regulatory changes affecting operations

Site Safety Conditions

Cox Aerial Solutions LLC may suspend operations due to:

  • Unsafe launch or recovery areas
  • Hazardous site conditions
  • Active safety concerns
  • Unauthorized personnel entering the operational area
  • Electrical hazards
  • Conditions that may put people, property, or equipment at risk

Remote Pilot in Command Authority Clause

The Remote Pilot in Command (RPIC) designated by Cox Aerial Solutions LLC maintains final authority over all flight operations.

The RPIC has sole discretion to:

  • Determine whether conditions are safe for flight
  • Delay or cancel operations
  • Modify flight plans
  • Terminate flights already in progress
  • Refuse operation outside FAA regulations or safety standards

No customer, employee, contractor, or third party may require or pressure Cox Aerial Solutions LLC or its pilots to conduct flight operations that are deemed unsafe, illegal, or outside established operational limits.

Weather Delays & Rescheduling

If flight operations cannot be completed due to weather, FAA restrictions, or safety concerns:

  • Cox Aerial Solutions LLC will communicate the reason for postponement.
  • Reasonable efforts will be made to reschedule the inspection.
  • A new inspection date will be coordinated based on availability and safe operating conditions.

Customer Acknowledgment

By engaging Cox Aerial Solutions LLC for UAS thermal inspection services, the customer acknowledges and agrees that:

  • UAS operations are dependent on safe weather and regulatory conditions.
  • Cox Aerial Solutions LLC has final authority regarding flight decisions.
  • Inspections may be delayed or canceled due to FAA restrictions, weather, or safety concerns.
  • Flight completion cannot be guaranteed when conditions prevent safe or legal operation.
  • Safety requirements take priority over scheduling demands.
