Cox Aerial Solutions LLC (“Company,” “we,” “our,” or “us”) respects your privacy. This Policy explains what information we actually collect through coxaerial.com and our authenticated customer portal, how we use it, and how it is protected. Cox Aerial Solutions LLC does not sell physical goods, does not ship products, and does not process payments through this website. Payments, when applicable, are handled outside this website by a third-party invoicing or payment processor identified in your Scope of Work or invoice.

1. Categories of Information

We separately handle three categories of information:

A. Website Inquiry Information

When you submit a quote request, contact form, or other inquiry through this website, we may collect:

  • Company name and contact name
  • Email address and phone number
  • Service requested (thermal inspection, mapping, real estate media, etc.)
  • Project or property location and address
  • Acreage, line miles, facility information, or asset information relevant to the request
  • Requested schedule or preferred timing
  • Uploaded maps, KML/KMZ files, parcel references, photographs, plans, drawings, or other project files you choose to attach
  • Free-text notes or descriptions you provide
  • Form-submission metadata such as IP address, timestamp, browser/user-agent string, and referring page (used for security, deliverability, and fraud prevention)

B. Customer Portal Account Information

If you create an account or sign in through the customer portal, we collect and store:

  • Account email address and, where used, federated sign-in identifier (e.g., Google)
  • Display name and profile information you provide
  • Authentication metadata (login timestamps, session records) maintained by our authentication provider
  • Records of quotes, appointments, messages, invoices, and reports associated with your account

Portal access is limited to approved users and projects associated with their accounts. One customer cannot access another customer’s documents, and authentication errors do not reveal sensitive account information.

C. Customer Project Data (Governed by Service Agreement)

Once you engage Cox Aerial Solutions LLC under a signed Scope of Work or service agreement, the imagery, thermal data, orthomosaics, reports, deliverables, and related files we produce or receive in connection with the engagement (collectively, “Project Data”) are governed by that agreement — including license, confidentiality, delivery, and retention terms — not by this Privacy Policy alone. Where the agreement and this Policy differ regarding Project Data, the signed agreement controls. Portal availability and data retention windows are described in our Delivery, Portal & Retention policy.

D. Payment Information

We do not collect or store credit card, bank account, or other payment instrument details on this website. Invoicing and payment are handled by a third-party processor (for example, Intuit QuickBooks). Any payment information you provide is submitted directly to that processor and is subject to its own privacy policy and terms.

2. How We Use Information

  • Respond to your inquiry and prepare a quote or Scope of Work.
  • Schedule field operations, communicate about your project, and deliver reports.
  • Operate and secure your authenticated customer portal account.
  • Issue invoices and receive payment through the third-party processor.
  • Maintain business, tax, insurance, and FAA operational records.
  • Detect abuse, prevent fraud, and maintain website security.
  • Comply with legal obligations.

We do not use website inquiry information for advertising to you, and we do not sell your personal information.

3. Cookies and Tracking Technologies

coxaerial.com uses only cookies and local storage that are strictly necessary to operate the site and the authenticated customer portal. This includes:

  • Authentication and session tokens for the customer portal (set by our authentication provider).
  • Basic preference storage (for example, remembering that you dismissed a notice).

We do not currently load Google Analytics, Google Ads, Meta/Facebook Pixel, TikTok, LinkedIn Insight, Hotjar, or other third-party analytics or advertising tracking technologies on this website. Because no nonessential analytics or marketing cookies are loaded, we do not display a consent banner. If we later add any nonessential analytics or marketing technology, we will (a) update this section to list it, (b) present a consent mechanism before it loads where required by law, and (c) provide a persistent “Cookie Preferences” link in the site footer to reopen those preferences at any time. You can also control or clear cookies through your browser settings.

4. How We Share Information

We do not sell your personal information. We share information only with vendors that help us operate the business, and only to the extent needed for that purpose. Current categories include:

  • Website and application hosting provider
  • Authentication and database provider (backing the customer portal)
  • Transactional email provider (for quote confirmations, messages, and report delivery)
  • Invoicing and payment processor (for example, Intuit QuickBooks) — only when you receive an invoice

We may also disclose information when required by law, in response to lawful process, to protect our rights, or to protect the safety of people or property.

5. Data Security

We use commercially reasonable administrative, technical, and physical safeguards, including encrypted transport (HTTPS), authenticated access to the customer portal, role-based access controls in our database, and access limited to approved users and projects associated with their accounts. No method of transmission or storage is completely secure.

6. Data Retention

We retain website inquiry information for as long as reasonably necessary to respond to and follow up on the inquiry, and to maintain business and legal records. Customer portal accounts persist until you request deletion or the account is closed. Project Data retention (including portal availability and restoration fees) is governed by our Delivery, Portal & Retention policy and your signed service agreement.

7. Your Rights

Depending on where you live, you may have rights to access, correct, delete, restrict, or receive a copy of your personal information, or to withdraw consent. To exercise these rights, contact us using the information below. We may need to verify your identity before responding.

8. Children’s Privacy

This website is intended for business customers and is not directed to children under 13. We do not knowingly collect personal information from children.

9. Third-Party Links

This website may link to third-party sites (for example, an invoicing portal). We are not responsible for their privacy practices or content.

10. Changes to This Policy

We may update this Privacy Policy from time to time. The revised version will be posted on this page with an updated Effective Date at the top.
